Position: Sales Administrator

Location: Dallas (Onsite)

Position Overview:

We are seeking a highly organized and motivated Sales Administrator to provide essential administrative support to our Sales leadership. The successful candidate will play a pivotal role in streamlining our sales operations, ensuring seamless communication, and enhancing the efficiency of our sales processes.

Key Responsibilities:

Administrative Support:
  • Provide direct administrative support to the leadership by managing calendars, scheduling meetings, and preparing necessary materials.
  • Draft, review, and manage internal and external sales correspondences, including letters, memos, forms, policies, procedures, and handling confidential information.
  • Assist in the preparation and processing of promotional documents and materials for distribution.
  • Maintain and update the CRM platform, ensuring data accuracy and optimal system usage.
  • Coordinate with the marketing team to qualify inbound sales leads, enter them into CRM, and track their progress to completion.
  • Support routine reporting activities, data distributions, and assist with sales team requirements.
Meeting Coordination:
  • Schedule, organize, and coordinate meetings, including preparing agendas, materials, and follow-up actions.
  • Assist in the planning and coordination of special events, webinars, and conferences.
Sales Support:
  • Manage inbound sales leads, conduct follow-ups, and track leads through the sales pipeline.
  • Assist in cold calling and sales follow-ups to support the sales team’s efforts.
  • Prepare detailed reports, presentations, and other sales documents as required.
  • Maintain and update accurate sales records and documentation in the CRM platforms.
  • Support the sales team with various administrative tasks to enhance overall productivity.
Inbound Sales and Lead Follow-ups:
  • Receive and respond to inbound sales inquiries, providing timely and accurate information to potential clients.
  • Follow up on inbound sales leads, qualifying prospects and scheduling further interactions as needed.
  • Track the progress of inbound leads in CRMs , ensuring timely and effective follow-up actions.
Reporting and Documentation:
  • Generate regular and ad-hoc reports to support the sales team’s activities and performance tracking.
  • Maintain accurate records of sales activities, client interactions, and lead status in HubSpot.
  • Assist in developing new reporting routines, schedules, and enhance data management processes.
Process Improvement:
  • Develop and implement efficient administrative processes to streamline sales operations.
  • Create and maintain organized filing and reference systems to optimize decision-making processes.
  • Continuously seek ways to improve time management and operational efficiency within the department.

Qualifications:

  • Bachelor’s degree in Business Administration, Marketing, Healthcare Administration, or a related field preferred.
  • Proven experience in an administrative support role within a sales environment, ideally in the healthcare or RCM sector.
  • Proficiency in using CRM and Microsoft Office Suite (Excel, PowerPoint, Word).
  • Exceptional organizational and multitasking skills, with the ability to prioritize tasks effectively.
  • Strong communication and interpersonal skills, with a professional demeanor.
  • Ability to work independently and as part of a collaborative team.
  • Familiarity with RCM services and the healthcare industry is highly desirable.
